*Graduands will be assigned to one of the sessions over the two days according to their respective programme. Eligible graduands registered for the Ceremony will receive a confirmation email by late June 2025, including the assigned session and detailed arrangements of the Ceremony.

**Please note eligible graduands can attend EITHER the in-person Ceremony in July OR the Virtual Congregation in June, but not both.

Registration:

Graduands are required to register for the Ceremony via the registration link below. Graduands who fail to register by June 8, 2025 (Sunday) HKT 23:59 will be considered as not attending the Ceremony and will be conferred in absentia.

Eligible graduands who has registered for the Ceremony will receive a confirmation email by late June 2025, including detailed arrangements of the Ceremony and event admission.

Each graduand can invite 2 guests, and that please be noted that guest seating in the Grand Hall is limited and will be allocated onsite on a FIRST-COME, FIRST-SERVED basis. Under the circumstances that the Hall reaches its maximum capacity, guests will be seated at a nearby live broadcasting room to join the ceremony.

Attire:

Graduands are required to collect their academic dress before the event. Please visit the HKU Congregation website for the appropriate attire. For details on loan of academic dress, please contact: congmail@hku.hk

Graduands who are not in full academic dress will not be presented on stage.

Certificate: The collection of certificates is administered by HKU. Please visit the HKU Congregation website for more details. Certificates will NOT be presented on stage during the Congregation Ceremony.

Virtual Congregation
(administered by HKU):

In view of some graduands’ special needs, HKU will host a Virtual Congregation on June 10, 2025 (Tuesday).

IMPORTANT NOTE: Eligible graduands can attend EITHER the In-person Ceremony in July OR the Virtual Congregation in June. If you have registered for both, you will be deemed to have joined the Virtual Congregation and we will NOT process your registration for the In-person Ceremony in July.

Important Notes (July Congregation Ceremony):

  1. Graduands will be assigned a seat according to their programmes and the alphabetical order of their surnames, and will be invited onto the stage in a programme-specific sequence. Graduands should not swap their seats in order to ensure the smooth running of the conferment procedures.
  2. Graduands and guests are requested to respect fellow graduates by remaining at the Grand Hall for the entire Ceremony.
  3. Graduands are required to join the briefing on conferment arrangements 15 minutes before the ceremony starts at the Grand Hall. Briefing times of respective sessions are as follows:
    • [July 7] Session 1 – 9:45 a.m.; Session 2 – 1:15 p.m.; Session 3 – 3:45 p.m.
    • [July 8] Session 4 – 9:45 a.m.; Session 5 – 1:15 p.m.; Session 6 – 3:45 p.m.
  4. Graduands who arrive at the venue after the start time of the briefing session will NOT be allowed to go onto the stage during the Ceremony.
  5. Guests are encouraged to arrive earlier for registration. Guests arriving after 10:00 a.m. on July 7 and 8 for the morning session, or 1:30 p.m./4:00 p.m. on July 7 and 8 for the afternoon session, may not be permitted to enter the Grand Hall, in order to ensure no disruption to the Ceremony. Please remember to bring your mobile device to show the confirmation email or a print-out copy for onsite registration.
  6. Participants attending the Congregation Ceremony are deemed to have acknowledged and agreed to abide by the House Rules.
  7. The University and the Faculty may make appropriate adjustments to the Ceremony arrangements. Please stay tuned for further updates.

FAQs (July Congregation Ceremony)

Registration:

Only graduands eligible for graduation can attend the Congregation Ceremony. If you have questions on your graduation eligibility, please contact your respective programme office directly.

Unfortunately, you cannot register for the Congregation Ceremony after the registration deadline. Please contact us at fbegraduation@hku.hk if you have any questions.

Attendance at the Congregation will not affect graduands' graduation status/eligibility.

Unfortunately, we are unable to offer the deferral of Congregation Ceremony attendance.

Visa:

Graduands should check the latest entry requirements for travelling to Hong Kong before registration.

If you have registered to attend the Congregation Ceremony, you will receive a confirmation email by the end of June 2025. If you require a copy of the invitation letter in advance to support your visa application, please contact us at fbegraduation@hku.hk.

Please note that the Faculty is unable to provide additional invitation letter to support visa applications for guests. We recommend that you and your guests ensure all necessary visa requirements are met well in advance of the Ceremony to avoid any inconvenience.

Academic Dress and Certificate:

Graduands are required to collect their academic dress before the event. Please visit the HKU Congregation website for the appropriate attire. For details on the loan of academic dress, please contact: congmail@hku.hk

You are required to bring a full set of academic dress and to ensure proper attire is worn together with the academic regalia. You may wish to bring safety pins to secure the gown and hood in place. Please wear appropriate footwear for walking up and down the stage steps. Please refer to the attire here.

No. Academic dress will not be available on the event day.

Academic dress is mandatory for graduands attending the Congregation Ceremony. Graduands who are not in full academic dress will NOT be presented on stage.

No. Certificates will not be presented during the Congregation Ceremony at Grand Hall on July 7 and 8, 2025. Please find more information on the HKU Congregation Website regarding collection arrangement of graduation certificate.

No. You do not need to attend the Ceremony to receive your degree certificate and transcript. Please find more information on the HKU Congregation Website.

Adverse Weather Arrangements:

If Tropical Storm Warning Signal No. 8 (or a higher number) or the Rainstorm Black Warning Signal is hoisted on July 7 and 8, 2025 (Monday and Tuesday), the following arrangements will be applied:

Morning session
If either of the warnings is hoisted or in force at/after 7:00 a.m., the Ceremony of the day will be cancelled.
If either of the warnings is lowered or cancelled at/before 7:00 a.m., the Ceremony of the day will be held as scheduled.

Afternoon session
If either of the warnings is hoisted or in force at/after 10:00 a.m., the Ceremony of the day will be cancelled.
If either of the warnings is lowered or cancelled at/before 10:00 a.m., the Ceremony of the day will be held as scheduled.
